Overview:

HT Traffic is a complete traffic management application, which optimises the efficiency of each stage of the delivery process enabling users to book jobs, schedule deliveries, allocate resources and create invoices in a secure, electronic format. Using Crystal Reports, the System delivers a rich suite of financial and analytical reports as well as generating delivery notes and manifests. The system offers an End-to-End service, which assists with every step of the delivery process.

In essence the HT Traffic System is designed to automate and accelerate the transition of Jobs through the delivery process.

The system has a number of core features, which can be purchased or rented (from £49 per seat) as a singular solution or as the nucleus of a wider-ranging total management system.

Core Components:

Job Booking: The HT Traffic Solution simplifies the job booking process by automating many of the more labour intensive aspects of a traditional Traffic Management system. The system retains large amounts of customer specific information including multiple rate tables and customer specific surcharges. Consequently all jobs booked onto the system are automatically rated and relevant surcharges applied as required. (See example of Job table)

Load Planning: The System's 3 Diaries enable users to better manage all incoming (Collections), outgoing (Deliveries) and inter-depot trunk jobs. From the Diary, Jobs can be booked, grouped into loads and then assigned a vehicle, trailer, driver or sub-contractor. (See example of Diary)

Invoicing: The System will automatically calculate the cost of a job based on the rates selected and any applicable surcharges (tail-lift deliveries, fuel surcharges, timed bookings etc.) assigned to the job.

Reporting: Using Crystal Reports the system offers a rich suite of performance related reports. What's more, every job entered onto the System has a detailed auditable history.

Set Up: The System is designed to enable users to input and arrange information to better suit their own operational procedures.

Job Progression Stages:

To ensure that every job is handled appropriately and all job related information is retained by the system each job passes through a number of actionable stages.

1 Job Booking: (See example of Job table)
Once a job is initially booked on the system it is given a 'Booked' status. The system goes on to assist the operative in completing all customer, job and delivery related information required for the job to progress.

The HT Traffic system further reduces the time spent dealing with individual jobs by offering a number of intelligent features

  • Automated Rating of Jobs
  • Surcharges calculated automatically (see surcharge features)
  • Customer specific rate tables can be created and edited as required
  • Default fields are populated from customer files when a specific customer code is selected
  • Hazardous goods delivery details can be entered in to the Job Booking table
  • Collection elements of the job are tabulated and added to the surcharges

2 Scheduling:
Once booked onto the system, the job will appear in the delivery diary (See example of Diary). The job is then scheduled onto a load and can be assigned a vehicle, driver or sub-contractor and delivery date.

3 Actioned:
Once all the jobs have been assigned to a load the status of the load can be changed to 'Actioned', indicating that the load is ready for delivery and should not be altered or amended. (Optional)

4 Completed:
When a job has been delivered you can set the status of the job to 'Completed'. (Optional) At this point details of who signed for the delivery and delivery time can be entered on to the system.

5 Received:
Once the paperwork for a job has been returned to the depot or an electronic signature has been accepted the proof of delivery (POD) can be scanned and stored on the system. Furthermore, details of who signed for the delivery and other job related information can be entered at this point, if completed status is not used. Typically at this point the status of the job is set to 'Received'. (Optional)

6 Invoiced:
Ultimately, the System will automatically calculate the cost of a job based on the rates selected and any applicable surcharges (tail-lift deliveries, fuel surcharges, timed bookings etc.) assigned to the job.

Additional Features:

The core components of the HT Traffic System can be added to as and when required by the user.

Job Portal: To further accelerate the overall delivery process by reducing excessive communication between the system's operatives and customers wishing to book jobs the HT Traffic System has an interactive Job Portal, which enables authenticated customers to access the system via a password and username protected web portal.

The Job Portal offers users two key interactive services:

1. Interactive Job Booking - The system will accept Jobs via a variety of sources including e-mail, file up-lode or file import.
2. Consignment Tracking (Track&Trace) - Authenticated users can track & trace the progress of all Jobs relevant to them as well as view Proof of Delivery details.

Signature capture module: Using any windows based PDA device, drivers can now accept electronic signatures, which can be instantly sent back to the system. This reduces POD to invoice times by half as operatives no longer have to wait for drivers to return with paper PODs.

What's more the PDA can be used to create reports regarding the time spent delivering goods. Drivers can send verified arrival and departure times, which are automatically entered into the system along with all POD related information. This feature is particularly useful to users with time critical delivery requirements.

Routing & Mapping: The HT Traffic system incorporates Windows MapPoint to assist with collection, delivery and vehicle use optimisation.

Microsoft MapPoint 2004 is business-mapping software that utilises powerful mapping and analysis tools. Using MapPoint the HT Traffic System enables users to easily locate and illustrate points on maps, optimise Routes, calculate distances, display delivery points and quickly identify business trends on a map using the user's own data. Document Management: Based on the award-winning Archivist Document Management System users can scan, store and index documentation such as PODs. Scanned images can be indexed against a maximum of five distinct search criteria, such as consignment number, date, customer code etc. Office paperwork can further be reduced by exporting scanned images via e-mail to customers or alternately images can be uploaded to a Company's website, where they are made accessible to authenticated customers. Warehouse System: HT Warehouse creates a virtual map of a company's warehouse in order to help operatives to better manage incoming, existing and outgoing stock. The system is designed so to ensure every stage of the delivery process is adhered to, thus creating a fully auditable history. What's more, the system can be adapted to the requirements of the user and information such as capacity; history and costs are instantly available to users and their authenticated customers via a web link. Instant Invoicing: The system has the ability to create an invoice upon receipt of POD. Once delivery confirmation is received the system finalises the job and creates an invoice, which can be uploaded to either the in-house accounts package or sent directly to the relevant customer via e-mail.

Bespoke Work: Aspects of the HT Traffic system can be adapted so as to facilitate the specific requirements of customers. Export or Import routines can be written to send data to or from other in-house systems such as accounts packages.

What's more export routines can be written so data can be sent directly to other sites within a group, head offices or Pallet-hubs. The HT System has dedicated routines already in place for the Palletline and Pallex networks, which enable users of the system to export essential data, such as POD documents directly into the pallet network's system.
